80% reduction in admin-related work
How a 10-year-old physiotherapy group connected three islands of admin into one quiet, automatic flow.

Nine locations. Around 25 therapists. And a founder spending his evenings typing invoices.
The challenge
Growth is supposed to be the good problem. For Robert it came with a bill attached.
FysioCity has been running for ten years, with physiotherapy practices inside SportCity locations across Amsterdam. The last few years were the strongest yet. More locations, more therapists, more clients walking through the door. Exactly what you want.
But every new location meant more invoices. Every new therapist meant more records. Every new client meant more payments to match up. And the setup that had worked perfectly well for a smaller practice was now three separate islands: the CRM held the client data, Moneybird held the finances, PayPal held the payments. None of them talked to each other.
So Robert did the talking. Every invoice meant pulling details out of one system and typing them into another. Every payment meant checking it off by hand. Half an hour a day, every day, and that was a good day. Skip it for a week and it stacked into a whole afternoon of catching up, usually in the evening, usually long after he should have finished.
Here's what that really cost. Robert is at his best with people, and at making his locations feel like somewhere you'd want to come back to. That instinct is what built FysioCity. But the bigger it got, the less of his week went into it, and the more went into re-typing numbers between three screens. The thing driving the growth was the first thing to get squeezed.
That's the trap. The busier you get, the more admin you generate, and the less time you have for the work that made you busy in the first place.
What I built
I connected the CRM, Moneybird and PayPal so they finally talk to each other.
Client records now feed straight into invoicing, with no re-typing or copy-paste between tabs. Invoices generate themselves. Payments come back in and reconcile automatically against the right client, so nothing needs ticking off by hand. What used to be a daily loop across three systems is now a couple of clicks, once.
Nothing was ripped out. Robert kept the tools he and his wife already knew. They just stopped being islands.
"I'll be honest, I was hesitant. You get used to your own systems and your own routine, and the idea of changing that felt risky. But we sat down together for a few hours, and a few days later it was running. It's been a fantastic shift, and we're still going, finding new things to improve as we go."
— Robert, founder of FysioCity
The result
Half an hour a day became under an hour a week.
No backlog building up in the background. No evening sessions to dig out of it. And because his wife handles the finance side, it gave her that time back too.
What it freed up
Robert is back doing what he's actually good at: building relationships and making his locations somewhere people want to be. The part of the business that only he can do is the part he now has time for.
